The short version
  • We collect only what is needed to run your community: your account, unit, payments, vehicles, and emergency contacts.
  • Your community's staff see only what their role requires — other communities never see your data.
  • We never sell your personal information or use it for advertising.
  • We do not store your card number; payments are handled by Stripe.

1. Overview

Com2Hub is a platform used by residential communities to manage dues, documents, announcements, parking, service providers, and board operations. This policy explains what information the platform handles and why. It applies to everyone who uses Com2Hub: owners, tenants, board members, property managers, and platform administrators (Super Admins).

Each community is an independent workspace. Your community's board and property manager decide how Com2Hub is used for your community, while Com2Hub provides the tools and safeguards described below. See our Data Policy for technical detail and our Terms & Conditions for the rules of use.

2. Information we collect

Information you or your community provide

  • Account & identity: name, email address, apartment/unit number, role, and your community.
  • Sign-in credentials: a hashed password (never the password itself), passkey public keys, and, if you use social sign-in, the profile details returned by Google, Microsoft, or Facebook.
  • Payments: dues, fees, and provider payment records — amounts, dates, status, and Stripe reference IDs.
  • Vehicles & parking: make, model, color, license plate, tag number, partial VIN (last 6 characters only), insurance and registration details, and parking spot assignments.
  • Emergency contacts: name, relationship, phone, and optional email and address of people you designate.
  • Authorized occupants: people your community records as authorized to live in or use a unit.
  • Documents & messages: files you upload and announcements or messages you send to the board.

Information collected automatically

  • Audit records: sign-ins and significant actions (for example, changing a role or deleting a document), with timestamp, IP address, and browser user-agent.
  • Session & security cookies: to keep you signed in, protect forms from forgery, and remember your light/dark theme choice.

3. How we use it

  • Operate your community account and show you the tools your role allows.
  • Process dues and provider payments and produce payment reports.
  • Deliver announcements, documents, and system emails such as sign-in links, registration decisions, and payment receipts.
  • Manage parking, vehicle approvals, insurance tracking, and emergency readiness.
  • Detect misuse, investigate incidents, and keep an accountable history of administrative actions.
  • Comply with legal obligations and enforce our Terms.

We do not sell personal information, and we do not use it for third-party advertising or profiling.

4. Who can see your information

Access inside Com2Hub is role-based and always limited to your own community.

RoleTypically can see
Owner / TenantYour own profile, payments, vehicles, and emergency contacts; documents and announcements addressed to you.
Board MemberResident directory, community payment reports, board records, documents, and audit logs, as permitted for the position.
Property ManagerOperational data such as providers, insurance, parking, quotas, and provider payments.
Super AdminPlatform-wide administration, including communities and permissions, for support and oversight.

Board and manager permissions can be tuned per role or per person, so exact access may vary by community. Every user sees only data belonging to their own community.

5. Third-party services

We share information only with services needed to run the platform:

  • Stripe processes card and bank payments on its own secure pages. Com2Hub receives the payment result and reference IDs, not your full card number.
  • Email delivery (SMTP provider) sends system emails to your address.
  • Google, Microsoft, and Facebook receive a sign-in request only if you choose social sign-in.
  • Legal & safety: we may disclose information when required by law or to protect people and property.

6. Security

  • Passwords are hashed; passwordless options include one-time magic links and passkeys (WebAuthn).
  • Sessions end automatically after a period of inactivity, with a countdown warning beforehand.
  • Data is isolated per community and protected by role and permission checks on every request.
  • Uploaded files are kept in protected storage and served only to authorized users.
  • Sensitive administrative actions are recorded in audit logs.

No system is perfectly secure. If we learn of a breach affecting your information, we will notify your community and affected users as required by law.

7. Retention

We keep information while your account is active and for as long as your community needs it for financial, legal, and governance records. Payment history, board history, and audit logs are kept longer because associations must maintain them. Details are in the Data Policy.

8. Your choices & rights

  • Access & correct: review and update your profile, vehicles, and emergency contacts from your account.
  • Sign-in methods: add or remove passkeys and linked social accounts in My Account.
  • Request a copy or deletion: ask your board or property manager. Some records must be retained by law or for community accounting, and may be restricted rather than erased.
  • Emergency contacts: only share details of people who agree to be listed.

Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; we honor valid requests.

9. Children

Com2Hub is for adults. Minors may appear only as authorized occupants or emergency contacts entered by an adult resident, and are not given accounts.

10. Changes to this policy

We may update this policy as the platform evolves. The date at the top shows the latest revision, and material changes will be announced in the app.

11. Contact

For privacy questions or requests, contact your community's board or property manager. Signed-in residents can use Contact the Board under Messages.

Questions about this document? Signed-in residents can use Contact the Board; otherwise reach your community's board or property manager directly.
